HOW TO FIND THE TIME AND CHOOSE TASKS TO DELEGATE

You are overloaded with a pile of work, and you just cannot understand where to focus your effort and are often stressed, overwhelmed and worried.

You feel that 24 hrs. are not enough for you.

But do not worry. This is something everyone goes through and can be easily overcome.

Mastering the skill of delegation will help you lighten your load as well as create some time for you to focus on important things and help your team grow and succeed.

So, how do you find the time to manage everything and figure out which tasks to pass on?

In this post I share the 4 important steps that are essential to find time and choose tasks to delegate so that you can focus on important things and help your team grow and succeed.

Here are the 4 steps to find time and choose tasks to delegate like a Pro.

#1 First, carve out time by tracking how you actually spend your day.

It sounds simple, but many new managers jump in assuming they know where their time goes. Spend a few days noting every task, meeting, and email. You’ll probably spot patterns where time leaks away on things that don’t need your personal attention.

Common time wasters include excessive email checking, attending meetings without clear agendas, or getting caught up in minor details that don’t affect the bigger picture.

Recognizing these is the first step toward reclaiming your time. I can help you in finding theme in my free masterclass Here

#2 Next, prioritize your tasks by asking:

What truly needs my attention? If a task requires your specific expertise, decision-making, or a sensitive touch, keep it on your plate.

But if it’s routine, repetitive, or something that someone else on your team can handle — that’s a prime candidate for delegation. This tool can help you prioritize your tasks.

Examples of tasks you can delegate include:

  • Scheduling meetings and managing calendars

  • Preparing routine reports or data entry

  • Handling initial customer inquiries or support tickets

  • Monitoring project progress and updating status dashboards

  • Organizing team events or training sessions

Choosing what to delegate can feel risky at first. You might worry about burdening your team or losing control.

But remember, delegation is a way to empower your people, build their skills, and free yourself up for the bigger picture.

Start small — pick a few tasks that are clear-cut and easy to explain. As your team handles them, you’ll gain confidence in letting go.

#3 Good delegation also means giving clear instructions and the right resources. Don’t just say “handle this.” Instead, explain the goal, provide necessary context, and be available for questions.

Check in occasionally, but avoid micromanaging — trust goes both ways.  BLOG 4

#4 Finally, keep reassessing. Your workload and team capabilities will evolve, so delegation is an ongoing process.

Make a habit of reviewing what’s on your to-do list and who on your team could take on more. You might be surprised how much time you can reclaim by letting go of tasks that don’t need your unique touch.

Being a new manager is a juggling act.

Delegation isn’t just about offloading work — it’s about smartly choosing where you focus your energy and helping your team shine.

Give it a try, and watch your days open up — and your team grow stronger.

CONCLUSION

Strategic delegation, encompassing both the deliberate allocation of time for the process and the judicious selection of appropriate tasks, profoundly enhances managerial effectiveness.

By thoughtfully identifying operational or routine responsibilities that can be competently handled by others, managers are able to shed lower-priority burdens, thereby freeing their schedules.

This deliberate investment of time in the delegation process—from instruction to follow-up—is not merely an administrative chore but a strategic maneuver that liberates the manager to concentrate on critical, high-impact activities such as strategic planning, complex problem-solving, and leadership development.

Moreover, effective delegation fosters the professional growth of team members by empowering them with new responsibilities and skills, simultaneously optimizing workload distribution and improving overall team productivity.

Consequently, the ability to discern what to delegate and to commit the necessary effort to facilitate this process is instrumental in elevating a manager’s strategic focus and the collective output of their team.
